Set up email on an Android phone or tablet 

You can connect to your Office 365 or other Exchange-based email on an Android phone or tablet. When you set up an Exchange account on your Android, you’ll be able to access and synchronize your email, calendar, and contacts. If you only want to use email, you can set up POP or IMAP email on an Android. If you have a different device, see Phone and tablet setup reference. If you’re having trouble connecting your device after following these steps, see What else to I need to know? at the end of this article. 

Set up Microsoft Exchange email on an Android 

  1. From the Applications menu, select Email. This application may be named Mail on some versions of Android. 

     

  1. Type your full email address, for example tony@contoso.com, and your password, and then select Next 

     

  1. Select Exchange account. This option may be named Exchange ActiveSync on some versions of Android. 

     

  1. Enter the following account information and select Next. 

     

  • Domain\Username Type your full email address in this box. If Domain and Username are separate text boxes in your version of Android, leave the Domain box empty and type your full email address in the Username box.  

     

Note On some versions of Android, you must use the domain\username format. For example, if your email address is tony@contoso.com, type contoso.com\tony@contoso.com. Your username is your full email address. 

  • Password Use the password that you use to access your account.  

     

  • Exchange Server Use the address of your Exchange server. If you’re connecting to your Office 365 email, use outlook.office365.com for your server name. If you are not using Office 365, see Find your ActiveSync server name later in this article.  

     

  1. As soon as your phone verifies the server settings, the Account Options screen displays. The options available depend on the version of Android on your device. The options may include the following: 

     

  • Email checking frequency The default value is Automatic (push). When you select this option, email messages will be sent to your phone as they arrive. We recommend only selecting this option if you have an unlimited data plan. 

     

  • Amount to synchronize This is the amount of mail you want to keep on your mobile phone. You can choose from several length options, including One day, Three days, and One week.  

     

  • Notify me when email arrives If you select this option, your mobile phone will notify you when you receive a new email message.  

     

  • Sync contacts from this account If you select this option, your contacts will be synchronized between your phone and your account.  

     

  1. Select Next and then type a name for this account and the name you want displayed when you send e-mail to others. Select Done to complete the email setup and start using your account.  

     

Note You may need to wait ten-to-fifteen minutes after you set up your account before you can send or receive e-mail.  

 

Find your Exchange ActiveSync server name 

If your email program is not able to automatically find your Exchange ActiveSync server name, you may need to look it up. 

If you’re connecting to your Office 365 email, use outlook.office365.com as your Exchange ActiveSync server name. The Exchange ActiveSync server name outlook.office365.com can be used if you are using the latest version of Office 365. 

If you’re not using Office 365 or if you aren’t sure if you are using the latest version of Office 365, follow these steps to look up your Exchange ActiveSync server name. Follow these steps to determine your Exchange ActiveSync Feature name for process that allows connectivity and synchronization between mobile devices and Exchange Servers. server name. 

  1. Sign in to your account using Outlook Web App. For help signing in, see Sign in to Outlook Web App. 

     

  1. In Outlook Web App, on the toolbar, click Settings ImageOptions > Account > My account > Settings for POP and IMAP access. 

     

Note Although you’re not setting up a POP3 account, you will use this value to determine your Exchange ActiveSync Feature name for process that allows connectivity and synchronization between mobile devices and Exchange Servers. server name. 

  1. Under POP setting, look at the value for Server name 

     

  • If the Server name shows outlook.office365.com, your Office 365 account is on the latest version of Office 365, and you can use outlook.office365.com as your Exchange ActiveSync server name. 

     

  • If the Server name value is in the format podxxxxx.outlook.com, your Office 365 or other Exchange Online account is not yet on the latest version of Office 365, and you can use m.outlook.com as your Exchange ActiveSync server name.  

     

  • If the Server name value includes your organization’s name, for example, pop.contoso.com, then your Exchange ActiveSync server name is contained in address bar in your browser when you are signed in to Outlook Web app – -but without the leading https:// and without the trailing /owa. For example, if the address you use to access Outlook Web App is https://mail.contoso.com/owa, your Exchange ActiveSync server name is mail.contoso.com. 

     

Set up POP or IMAP email on an Android 

  1. From the home screen, tap Applications > Settings > Accounts & sync > Add account > Manual setup. 

     

  1. On the Incoming settings screen, in the Protocol drop-down menu, select IMAP or POP3. We suggest you select IMAP because it supports more features.  

     

  1. In the Email address and Username text boxes, type your full e-mail address, for example tony@contoso.com, and your password, and then select Next. Your user name is the same as your e-mail address. 

     

  1. In the Password text box, enter your password. 

     

  1. In the IMAP server or POP3 server text box, enter your IMAP or POP server name. If you’re connecting to your Office 365 email, the IMAP or POP server name is outlook.office365.com. If you’re not using Office 365, see Find your POP or IMAP server settings later in this article.  

     

  1. In the Security type drop-down menu and Server port text boxes, specify the POP or IMAP settings that you looked up in step 5, and then tap Next. Your e-mail application will check your IMAP or POP settings. 

     

  1. On the Outgoing server settings screen, the Login required option should be selected for you, and the Username and Password text boxes should be filled in.  

     

  1. In the SMTP server text box, enter the SMTP server name. If you’re connecting to your Office 365 email, the SMTP server name is smtp.office365.com. If you’re not using Office 365, see Find your POP and IMAP server settings later in this article. 

     

  1. In the Security type drop down menu and Server port text box, specify the SMTP settings that you located in step 5, and click Next. 

     

  1. In the Account name, text box, enter a name your account (for example “Office 365 email” or “Work email). In the Your name text box, enter the name you want displayed when you send e-mail to others (for example “Tony Smith”), and then select Finish Setup. 

     

Note You may need to wait ten-to-fifteen minutes after you set up your account before you can send or receive email. 

Find your POP and IMAP server settings 

If you’re connecting to your Office 365 email, the server name for IMAP and POP is outlook.office365.com and the server name for SMTP is smtp.office365.com. These settings can be used if you are using the latest version of Office 365. 

If you’re not connecting to Office 365 email, or if you aren’t sure if you are using the latest version of Office 365, do the following to look up your settings. 

  1. Sign in to your account using Outlook Web App. For help signing in, see Sign in to Outlook Web App 

     

  1. In Outlook Web App, on the toolbar, click Settings ImageOptions > Account > My account > Settings for POP and IMAP access 

     

  1. The POP3, IMAP4, and SMTP server name and other settings you may need to enter are listed on the Settings for POP and IMAP Access page under POP setting or IMAP setting, and SMTP setting 

     

Set up email on Black Berry 

You can set up email on a BlackBerry® device. If you choose to set up a POP3 or IMAP4 account, you can only synchronize email on your device. If your device is set up for BlackBerry® Enterprise Cloud Services, you’ll be able to access and synchronize your email, calendar, and contacts. 

Set up POP or IMAP email on a BlackBerry® 

  1. From the BlackBerry® home screen, select BlackBerry Setup > Set up Internet E-mail > Add An Email Account 

     

  1. Type your email address and password, and then select Next. 

     

  1. Your BlackBerry will try to set up your email account automatically. If setup completes successfully, skip to the next step. If your email account can’t be configured automatically, do the following:  

     

  1. Select I will provide the settings to add this email account. 

     

  1. Scroll down, and then select Next. 

     

  1. Select Internet Service Provider Email (POP/IMAP), and then select Next. 

     

  1. Type your full email address for your user name (for example, tony@contoso.com).  

     

  1. Scroll down and type the name of your email server. If you’re connecting to your Office 365 email, the IMAP or POP server name is outlook.office365.com. If you’re not using Office 365, see Find your POP and IMAP server settings later in this article. 

     

  1. Select Next 

     

  1. Enter the name of the outgoing server. If you’re connecting to your Office 365 email, the SMTP server name is smtp.office365.com. If you’re not using Office 365, see Find your POP and IMAP server settings later in this article. 

     

  1. Select OK to complete the setup. 

     

Find your POP and IMAP server settings 

If you’re connecting to your Office 365 email, the server name for IMAP and POP is outlook.office365.com and the server name for SMTP is smtp.office365.com. These are your settings if you are using the latest version of Office 365. 

If you’re not connecting to Office 365 email, or if you aren’t sure if you are using the latest version of Office 365, do the following to look up your settings. 

  1. Sign in to your account using Outlook Web App. For help signing in, see Sign in to Outlook Web App. 

     

  1. In Outlook Web App, on the toolbar, select Settings ImageOptions > Account > My account > Settings for POP and IMAP access.

Set up a BlackBerry® Cloud Services account on a BlackBerry® 

If you are an Office 365 user and your company is using BlackBerry® Business Cloud Services, you can use the service for integrated email, calendaring, and contact services with Microsoft Exchange Online.  

If you are not an Office 365 user, but have a mailbox on an Exchange server that is using BlackBerry® Enterprise Server and BlackBerry® Enterprise Server Express, you will also be able to use the service for integrated email, calendaring, and contacts with Microsoft Exchange Online.  

After your administrator has set up your BlackBerry® device, you can manage the settings on your phone yourself. To manage your BlackBerry® smartphone, go to the BlackBerry Web Desktop Manager. 

 

Set up email on Apple iPhone, iPad, and iPod Touch 

You can connect to your Office 365 or other Exchange-based email on an Apple iPhone, iPad, or iPod Touch. When you connect to your account using the Microsoft Exchange method, you’ll be able to access and synchronize your email, calendar, and contacts. If you only want to use email, you can set up email using POP or IMAP. 

 

Set up Exchange email on an Apple iPhone, iPad, or iPod Touch 

  1. If this is the first email account on your iPhone, tap Mail. Otherwise, tap Settings > Mail, Contacts, Calendars > Add Account 

     

  1. Tap Settings > Mail, Contacts, Calendars > Add Account 

     

  1. Tap Microsoft Exchange 

     

  1. You don’t need to type anything in the Domain box. Type the information requested in the EmailUsername, and Password boxes. You need to type your full email address in the Email and Username boxes (for example, tony@contoso.com).  

     

  1. Tap Next on the upper-right corner of the screen. Your mail program will try to find the settings it needs to set up your account. Go to step 8 if your mail program finds your settings. 

     

  1. If your iPhone can’t find your settings, you’ll need to manually look up your Exchange ActiveSync Feature name for process that allows connectivity and synchronization between mobile devices and Exchange Servers. server name. If you’re connecting to your Office 365 email, use outlook.office365.com for your server name. If you are not using Office 365, see Find your ActiveSync server name later in this article.  

     

  1. In the Server box, enter your server name, and then tap Next 

     

  1. Choose the type of information you want to synchronize between your account and your device, and then touch Save. By default, Mail, Contacts, and Calendar information are synchronized.  

     

  1. If you’re prompted to create a passcode, tap Continue and type a numeric passcode. If you don’t set up a passcode, you can’t view your email account on your iPhone. You can set up a passcode later your iPhone settings. 

     

Find your Exchange ActiveSync server name 

If your email program is not able to automatically find your Exchange ActiveSync server name, you may need to look it up. 

If you’re connecting to your Office 365 email, use outlook.office365.com as your Exchange ActiveSync server name. The Exchange ActiveSync server name outlook.office365.com can be used if you are using the latest version of Office 365. 

If you’re not using Office 365 or if you aren’t sure if you are using the latest version of Office 365, follow these steps to look up your Exchange ActiveSync server name. Follow these steps to determine your Exchange ActiveSync Feature name for process that allows connectivity and synchronization between mobile devices and Exchange Servers. server name. 

  1. Sign in to your account using Outlook Web App. For help signing in, see Sign in to Outlook Web App.

  1. Tap Other. 

     

  1. Tap in the Name box and type your full name. 

     

  1. Tap in the Address box and type your full email address (for example, tony@contoso.com). 

     

  1. Tap in the Password box and type your password.  

     

  1. Tap Save. 

     

  1. Tap either IMAP or POP. We recommend IMAP because it supports more features. 

     

  1. Under Incoming Mail Server, in the Host Name, box, type your incoming server name. If you’re connecting to your Office 365 email, the IMAP or POP server name is outlook.office365.com. If you’re not using Office 365, see Find your POP and IMAP server settings later in this article.

If you’re not connecting to Office 365 email, or if you aren’t sure if you are using the latest version of Office 365, do the following to look up your settings.

Set up email on a Nokia (Symbian OS) phone 

If you’re using a supported Nokia device that’s running the Symbian operating system, you can use the Nokia email application, Mail for Exchange, to set up your email using Exchange ActiveSync. When you use Exchange ActiveSync, you can access your account information, including email messages, calendar entries, contacts, and task information. If you only want to use email, you can set up POP or IMAP email on a Nokia. 

Set up Exchange ActiveSync email on a Nokia mobile phone  

  1. On the Applications menu, select Applications > Mail 

     

  1. Select Create a new mailbox to start the setup wizard. 

     

  1. Accept the Nokia terms of service and select Start. 

     

  1. Select Mail for Exchange from the list of available account types, and then enter the following information: 

     

  1. In the Password box, enter your account password.  

     

  1. In the Username box, enter your user name, for example, tony@contoso.com.  

     

  1. In the Domain box, enter your domain. Your domain is the part of your email address that follows the at sign (@) and precedes the period, for example, contoso 

     

  1. Select Next to continue. The setup wizard will try to automatically set up your email account. 

     

  1. If the wizard is able to set up your account, go to the next step. If this process can’t be completed automatically, you’ll need to enter your Exchange server name manually. In the Mail for Exchange server name box, enter your server name, and select Next. If you’re connecting to your Office 365 email, use outlook.office365.com for your server name. If you are not using Office 365, see Find your ActiveSync server name later in this article. 

     

  1. Select OK when Mail for Exchange informs you that it isn’t recommended to use multiple methods to synchronize your contacts with your phone. 

     

  1. Choose whether you want to synchronize your Calendar, Contacts, and Tasks by selecting the appropriate options and then selecting Next 

     

Find your Exchange ActiveSync server name  

If your email program is not able to automatically find your Exchange ActiveSync server name, you may need to look it up. 

If you’re connecting to your Office 365 email, use outlook.office365.com as your Exchange ActiveSync server name. The Exchange ActiveSync server name outlook.office365.com can be used if you are using the latest version of Office 365.

Set up email on Windows Phone 

You can set up Exchange email on a Windows Phone mobile phone. When you set up an Exchange account on your device, you’ll be able to access and synchronize your email, calendar, and contacts. If you only want to use email, you can set up POP or IMAP email on a Windows Phone. 

Set up Exchange ActiveSync on Windows Phone 

  1. On Start, swipe left to the App list, select Settings, and then select email + accounts 

     

  1. Select add an account > Outlook 

     

  1. Enter your email address and password, and then select Sign in. Windows Phone will try to set up your email account automatically. If setup completes successfully, skip to step 8.  

     

  1. If you see the message “Check your information and try again. You may have mistyped your password.”, verify that you entered the correct email address and password. At this stage, you don’t need to specify any values for User name and Domain. Select Sign in. If setup completes successfully, skip to step 8. 

     

  1. If your email account can’t be set up automatically, you’ll see the message, “We couldn’t find your settings”. Select Advanced. You’ll need to enter the following information: 

     

  • E-mail address This is your full email access, for example tony@contoso.com. 

     

  • Password This is the password for your email account. 

     

  • User name This is your full email address, for example tony@contoso.com.  

     

  • Domain This is the part of your email address after the @ sign, for example contoso.com.  

     

  • Server This is the name of your Exchange server. If you’re connecting to your Office 365 email, use outlook.office365.com for your server name. If you are not using Office 365, see Find your ActiveSync server name later in this article. 

     

  1. Select the Server requires encrypted (SSL) connection box.  

     

  1. Select Sign in. 

     

  1. Select OK if Exchange ActiveSync asks you to enforce policies or set a password.

Set up POP or IMAP on Windows Phone 

  1. On Start, swipe left to the App list, select Settings and then select email + accounts 

     

  1. Select Add an account > Other account 

     

  1. Enter your email address and password and select Sign in. Windows Phone will try to set up your email account automatically. If setup completes successfully, skip to step 6.  

     

  1. If you see the message “We couldn’t find the settings for the account information you entered”, make sure the email address and password are correct, and then select Try again. If setup completes successfully, skip to step 6. 

     

  1. If your email account can’t be set up automatically, select Advanced, and then select Internet mail. You’ll have to enter the following information: 

     

  1. Account name This is a descriptive name for your account.  

     

  1. Your name Type your name as you want it to appear when you send email messages from your phone.  

     

  1. Incoming e-mail server This is the incoming email server for your account. If you’re connecting to your Office 365 email, the IMAP or POP server name is outlook.office365.com. If you’re not using Office 365, see Find your POP or IMAP server settings later in this article.  

     

  1. Account type This will be either POP or IMAP.  

     

  1. User name This is your full email address, for example, tony@contoso.com. 

     

  1. Password This is the password for your email account.  

     

  1. Outgoing (SMTP) e-mail server This is the outgoing email server name. If you’re connecting to your Office 365 email, the SMTP server name is smtp.office365.com. If you’re not using Office 365, see Find your POP or IMAP server settings later in this article.  

     

  1. Select Advanced and select the boxes Require SSL for incoming mail and Require SSL for outgoing mail 

     

  1. Select Sign in.
